Dealer Message Order Intake Desk
An agent on the distributor's messaging line that turns dealers' photo and text orders into priced draft orders for inside sales to confirm.

Overview
In wholesale and distribution, many dealers still order the way they always have: a photo of a handwritten list, or a quick message asking for the same as last time plus two heaters, often on WhatsApp. Inside sales retype each one, look up the dealer's price tier and check stock before anyone can confirm. This Botlit concept puts an order agent on the distributor's messaging line and web chat, designed to read each message or photo, match the lines to the dealer's catalog and price list, and draft the order for inside sales to confirm.
The illustration shows the Order Inbox of a Dealer Order Desk agent for a sample distributor, with Messaging and Web chat badges and filter tabs counting all threads, drafted orders, threads needing inside sales and short picks. Each thread names the dealer, the message and a status: a photo of a handwritten list with a draft ready, a repeat-order message drafted, a stock question answered, a short-pick notice from a delivery route with a substitute accepted, and a price complaint escalated to inside sales.
The open thread shows the photo of a handwritten list with its line count. The agent replies that it has drafted an order at the dealer's price tier, that five lines matched, and asks the dealer to pick one item for an ambiguous electrical box line. A match table sets each line as written beside the matched catalog item, the quantity and a confidence tag, High for tubing, a ball valve and a tankless water heater and Choose for the ambiguous line, above an Open draft in Kadaikodi button. A Tool calls this turn card lists a Kadaikodi price list lookup for the dealer's tier, a Kadaikodi draft order creation, and a MoveTheWheels stock check at the serving distribution center showing five of six lines in stock. A Handoff rules card sends price disputes and unreadable lines to inside sales and credit questions to the credit desk.
In the design, Kadaikodi holds the dealer's price list, catalog and draft order and MoveTheWheels holds warehouse stock, so the agent is designed to call both and show how sure it is about each line. The same channel is designed to carry short-pick messages from the warehouse, so a dealer can accept a like-for-like substitute or ask for a backorder before the truck is loaded. Every run is designed to be recorded with the tool calls it made and the answer it gave. The concept is meant for inside sales teams, branch and counter staff, credit desks and warehouse leads.
What this concept shows
- An order inbox across messaging and web chat with counts for drafted orders, inside sales threads and short picks
- Photos of handwritten lists and short text orders turned into draft orders
- A match table of each written line, the matched catalog item, quantity and confidence
- Ambiguous lines put back to the dealer as a choice rather than guessed
- Per-turn tool calls for the Kadaikodi price list, the Kadaikodi draft order and MoveTheWheels stock
- Handoff rules for price disputes, credit questions and unreadable lines
- Short-pick notices with a substitute accepted on the same channel
How it works
- A dealer sends a photo of a handwritten list or a short text order to the distributor's messaging line or web chat.
- The agent reads the lines and is designed to match them to the dealer's catalog and price tier in Kadaikodi.
- It is designed to check stock at the serving warehouse in MoveTheWheels and draft the order, showing its confidence for each line.
- Ambiguous lines go back to the dealer as a choice, while price disputes, credit questions and unreadable lines follow the handoff rules to named people.
- Inside sales opens the draft in Kadaikodi and confirms it.
- If the warehouse short-picks a line, the dealer can accept a like-for-like substitute or ask for a backorder on the same channel before the truck is loaded.
Who it's for
