Salon Aftercare Question Desk

Client questions after a service answered only from the salon's approved aftercare cards, with anything about a reaction handed to a person.

These images are illustrations of the concept, not screenshots of the actual product.

Overview

In beauty and personal care, many questions arrive after the client has left: can I wash my brows tonight, when can I swim after a color service, can I wear makeup after a facial. Most are answered on the salon's own aftercare cards, but staff are with the next client, and a message about itching or a reaction needs a person quickly. This Botlit concept shows an aftercare agent and client inbox for salons and spas, where clients message the salon on web chat or a messaging channel such as WhatsApp and the agent is designed to answer only from aftercare cards and policies the salon has approved.

The illustration shows the Client Inbox of an Aftercare Assistant agent for a sample salon, with Messaging and Web chat badges and filter tabs counting all threads, those answered by the agent, those needing staff and those handed to the manager. Each thread shows the client, the service and the question with a status: brow lamination, color gloss and facial questions are answered, a reschedule request is sent to the front desk, and a message after a lightening service saying the scalp feels itchy is handed to the manager on duty, marked as having used the salon's holding message.

The open thread starts with a booking card from Kadaikodi showing the service, date, time and staff member. The client asks whether they can wash their brows tonight, and the agent answers that the aftercare card asks them to keep their brows dry for the first 24 hours, citing the brow lamination aftercare card by version. An Aftercare sent timeline beside the thread shows the patch test on file, the aftercare card sent by HeadshotMarketing with its time, and the rebook reminder date. A Handoff Rules card sends irritation or reaction and pain or burning to the manager on duty, a refund or complaint to the salon manager, and questions with no matching card to the front desk the next morning. Below, a triggered FluidGrids manager on-call alert shows who it was assigned to and when it was acknowledged.

In the design, Kadaikodi holds the booking and the patch-test record, HeadshotMarketing sends the aftercare card, and a FluidGrids workflow alerts the manager on duty with the conversation attached. The agent is designed to give no medical advice and not to assess symptoms: it answers from approved cards and hands anything about a reaction to a person. The concept is meant for salon and spa owners, front desk teams and managers on duty.

What this concept shows

  • A client inbox across messaging and web chat with counts for agent answers, needs-staff threads and manager handoffs
  • Answers drawn only from the salon's approved aftercare cards, cited by card and version
  • A Kadaikodi booking card with service, date, time and staff member at the top of the thread
  • An aftercare timeline with the patch test on file, the HeadshotMarketing card sent and the rebook reminder
  • Handoff rules for irritation or reaction, pain or burning, refunds or complaints, and questions with no matching card
  • A thread marker showing when the salon's approved holding message was used
  • A FluidGrids manager on-call alert with its assignee and acknowledgment time

How it works

  1. After a service, HeadshotMarketing is designed to send the client the approved aftercare card, and the aftercare timeline records when it was sent and the rebook reminder date.
  2. The client messages the salon on WhatsApp or web chat, and the thread appears in the client inbox with the Kadaikodi booking attached.
  3. The agent answers routine questions only from the approved aftercare cards and cites the card it used.
  4. A message about irritation, a reaction, pain or a complaint follows the handoff rules, and the thread is marked when the salon's approved holding message is used.
  5. A FluidGrids workflow is designed to alert the manager on duty with the conversation attached, and the alert records who acknowledged it.

Who it's for

  • Salon and spa owners
  • Front desk and client care teams
  • Managers on duty
  • Brow, lash and color specialists

Client Aftercare Inbox With Handoff Rules

Aftercare threads by status, a cited brow care answer with the booking and card timeline, and a manager alert.

This desktop illustration shows the Client Inbox of an Aftercare Assistant agent in Botlit for a sample salon, with Messaging and Web chat badges and filter tabs counting all threads, answered by agent, needs staff and handed to manager. The thread list shows five sample clients with their service, question and status: three answered, a reschedule sent to the front desk, and an itchy-scalp message after lightening handed to the manager on duty with a holding message used marker. The open thread begins with a Kadaikodi booking card, then the client's question about washing their brows and the agent's answer to keep them dry for 24 hours, cited to the brow lamination aftercare card. On the right, an Aftercare sent timeline lists the patch test on file, the card sent by HeadshotMarketing and a rebook reminder; a Handoff Rules card maps reactions, pain, refunds and unmatched questions to staff; and a triggered FluidGrids manager on-call alert shows its assignee and acknowledgment time.
